SYSTEM ADMINISTRATOR

Print to PDF - If your Thoroughbred engine is the latest version, AS3 can now print to PDF files and you can incorporate a logo with your forms and reports.

STUDENT RECORDS

Attendance Transcript (Inquiry hard copy) - Period Description has replaced the Period Code on this report.

Build Degree Audit File utility - This new function on the Utilities menu of Student Records uses the Block File to create a degree audit for you. Simply add the courses to one or more block records in the degree audit order and then run this new utility.

Block File - Period and days of the week have been added. These fields will come in handy if you use the Automatic Scheduling feature in conjunction with the Block File to create the Course Section records. See the new version of the manual (Automatic Scheduling) for more information.

Block File - NEXT BLOCK field has been added for those who use the Modify Student Schedules program to post schedules by block. This feature allows you to post a schedule that is longer than one block; you can link blocks together with this data element. It is also used in the new utility to build a degree audit; put the entire program in one or more blocks and that utility will create your degree audit records for you.

Immunization Report - You can now ask for records where there is an immunization date or no immunization date. This will help you find students who are not yet immunized.

Schedule Printing - A new version of the printed schedule has been added. This schedule has no course matrix showing the days of the week and the period of the day. Instead, it prints two columns and simply lists the day, dates and time a course meets. To use this schedule, go to Student Records Setup Options and change the name of the schedule you use to AIRSRSSD and set the 2-Column Schd flag on the same screen to ’Y’.

Modify Student Schedules - This scheduling program has been enhanced so that you can use it to delete one or more student schedules. Choose the students, the term, and ’D’ as the mode. Leaving the course, section, and block information blank will take out the schedules for the students you selected. This program will work with the NEXT BLOCK option that is now available in the Block File; thus, one or more blocks of courses can be scheduled at the same time (see Block File).

Modify Student Schedules - This scheduling program has been renamed to Batch Scheduling since it is now used to add, change, and/or delete schedules instead of only changing schedules.

Not Scheduled Report - An option for Last Term has been added. Now you can find students who had a Last Term that you select and no current term. This report can now find students who were here in the previous term, did not withdraw or graduate, and do not have a current term.

Schedule Entry - This program is now more sensitive to its use of the Section you enter when you first call up a student. When you input a section code in the screen header, only courses in which a student is scheduled that have a matching section number, will be retrieved to the screen for the edit session.

Auto Schedule File List - This new listing has been added on the Support Files Listing menu.

Satisfactory Academic Progress by Terms Report - This new report will run for term-based schools that have programs which are credit-based. The SAP file must be set to evaluate based on Number Of Terms. It will allow you to specify Credits Earned and the Grade Point Average. Each term will be checked for the student against the SAP Setup File.

Student ID Listing - Email address has been added to this listing.

INSTRUCTOR GRADES

Student Grades Report - This report has been added

BUSINESS OFFICE (A/R)

Reports - A new menu for Transaction Reports has been added as a branch off of the initial A/R Reports Menu. The reports dealing with Student Transactions have been moved to this new menu.

A/R Transactions Date Range Report - This new report will ask a range of dates. Transactions prior to your date range will sum in a column labeled PRIOR and those beyond your date range will end up in the FUTURE column. Others falling in the date range will be summed in four columns: FIN/AID PAY-PLAN CREDITS and DEBITS; and, the sum of these will appear in a TOTAL column. This is a multiple campus report, thus you can print this report for more than one school at a time with a totals page for all campuses.

Cash Journal - A second report will follow the first giving you the same data but sorted by Payment Type. Payment Type is a new field on the Cash Receipts screen (check, credit card, cash, etc.).

Cash Receipts - A new field has been added to categorize the type of payment. Press F6 for help on that field.

Payment Plans - You can now have a payment plan for a student in which the first payment is a percentage of the overall plan and the remaining payments are then divided equally to cover the balance. You can have a default overall percentage for all students, however, each student can have an override for that percentage so that student can have a different first payment amount than the other students. (This feature will not work if you charge interest).

PROPECT TRACKING

Aptitude Test File - ’Failure Y/N’ has been added as a data field to the prospect’s record in this file. The default value for this field is ’N’. If you make changes to scores in this file for a prospect after the prospect is in the Student Records Module, those changes will be copied to the Test File in Student Records / Data Entry / Test Entry.

Aptitude Test Schedules - This new report allows you to enter a range of two dates. Prospects scheduled to come in for testing are printed in date order.

Interview File - Interview date is now optional and not required.

Rep Scheduling - This function on the Data Entry screen has been enhanced make the act of scheduling a lead for an interview much easier if it is not done during Prospect Entry.

Prospect Document Report - This new report will look at the documents you can monitor during Prospect Entry (F3 in field 39 Enrollment Forms). The report will look for the code you enter in FORM STATUS and compare that with the actual forms saved in the system and only report on that status. For example, if you have input an ’N’ on the Prospect's form for Application for Admission and you put an ’N’ in the FORM STATUS prompt when you run the report, that document for the prospect will be printed on the report.

Prospect Status - A new status of L (for Lead) has been added. This will be the initial status when you enter a new prospect. You should go to your Status Codes file under Prospect Tracking / Support Files and add a record for status code ’L’.

FINANCIAL AID

Disbursements - A new step has been added to the Financial Aid Disbursements process. This has the option to replace Automatic Disbursements which you will find under AR / Data Entry / Financial Aid. This process will do that same selection process but put the results into an edit where you can toggle the disbursement as to being on-hold or not. When you are done with the edit procedure, from the same menu, you send the disbursements not on hold to the Payments File within the AR Module from which the Payments Journal takes over as usual. You can still run the system the old way using Automatic Disbursements.

Student Award Year File on the Data Entry screen of Financial Aid has been renamed the Student ISIR File.

TAP - NY State (Tuition Assistance Program) now interfaces with AS3.

BOOK SALES

Book Slips Report - A total for each student has been added to this report.

Book List by Title - This new report has been added.
